How Smart & Successful People Manage Their Time

Updated: Aug 24, 2023

Effective time management is a crucial skill that can lead to increased productivity, reduced stress, and overall success, no matter who you are or what you do.

I realized this the most during my days as an editorial director. I experienced firsthand how having a well-structured schedule made a world of difference. With countless people vying for my attention, I had to prioritize my time to stay on top of everything. Now, as an entrepreneur, I've found it to be even more true. And if I try and go a day without a structured schedule, I'm a mess.

Here's how I approach effective time management:

Prioritize tasks

To manage your time effectively, it's essential to prioritize tasks based on urgency and importance. The Eisenhower Matrix, a time management tool that categorizes tasks into four quadrants (urgent and important, important but not urgent, urgent but not important, and neither urgent nor important), can guide your decision-making, ensuring you focus on what's most important.

Time blocking and calendaring

Allocating specific time slots for tasks and activities can help you stay organized and focused. Using a calendar to plan your day allows you to visualize how you're spending your time and make adjustments as needed.

Set clear goals and deadlines

Setting clear goals and deadlines for tasks provides structure and helps you stay motivated. Use the SMART goal-setting framework (Specific, Measurable, Achievable, Relevant, Time-bound) to establish realistic and attainable objectives.

Eliminate distractions and time-wasters

Identify and minimize distractions to maintain focus on your tasks. Implement techniques, such as turning off notifications or creating a designated workspace, to help you concentrate on what's important.

Learn to delegate and say no

Recognize the importance of delegating tasks when necessary and say no to requests that don't align with your priorities. This will free up time for tasks that require your attention and expertise. Also read: How to say no without burning a bridge.

Break tasks into smaller, manageable steps

Use methods like the Pomodoro Technique to break tasks into smaller steps and work in focused intervals with regular breaks. This approach can increase productivity and make large tasks feel more manageable.

Review and adjust your schedule regularly

Periodically assess how you're spending your time and make adjustments as needed. Continuously improving your time management skills will lead to better results and increased efficiency.

Mastering time management is essential for achieving success in both your personal and professional life. Implement the tips provided in this article to effectively manage your time and increase productivity.
